Your pipeline.
Every conversation. A clear next move.
How to follow up
- Review and reply. Read the answers, check the suggested path, and send a personal reply. Aim for the next business day.
- Agree the next step. Keep the conversation by email unless a call would help. Clarify scope for a project, responsibilities for ongoing support, or one useful starting point for guidance.
- Keep a date attached. Save the next action and a due date. If a reply is expected, one helpful follow-up after 3–5 business days is a starting point. For someone exploring, ask whether and when they would like you to follow up.
- Record the outcome. Move to proposal, won, or closed when appropriate. Calls and proposals are optional; skip stages that do not apply.
Saving the inquiry and queuing both notifications are automatic. Personal follow-up and stage changes are yours. Product launch requests are limited to the requested launch notification. This workspace does not read your inbox or send scheduled reminders.
Monthly retention review
Choose “Retention review due” in Follow-up. This view searches all saved inquiries. Use “Load older inquiries” if more than 100 are due. Record the last meaningful contact; close unsuccessful inquiries and delete them when the 12-month period ends. Review reasons to keep records on their saved review date. Product-launch requests also need review; do not retain them indefinitely just because the product has not launched.
Before deleting, check email threads, Trash, downloads and provider copies. Valid deletion requests can be handled earlier. Won client records and records marked to keep require a separate review. Backups expire automatically after 30 days through hourly maintenance; deletion of live inquiries remains your decision.
“Accepted” means the email provider accepted the message. It does not confirm inbox delivery. Updating a stage or follow-up date does not send an email or create a reminder.
